We are seeking a highly organized and detail-oriented Administrative Manager to oversee daily office operations and provide comprehensive support to the Executive Team. This dynamic role requires exceptional leadership, strong organizational abilities, and the ability to anticipate needs, think critically, and offer proactive solutions with professionalism and confidentiality.

As an integral part of our team, the Administrative Manager will maintain organizational procedures, facilitate smooth workflow across departments, and ensure administrative functions run efficiently. Key Responsibilities

Office & Administrative Management

  • Oversee and manage daily office operations to ensure efficiency and productivity.
  • Develop, implement, and improve office policies and procedures.
  • Maintain and organize records, files, and documentation in compliance with company policies.
  • Manage office services, supplies, and vendor relationships.
  • Ensure compliance with company regulations and legal requirements.

Executive Support

  • Provide sophisticated calendar management for the Executive Directors, prioritizing inquiries and troubleshooting conflicts.
  • Arrange and handle logistics for meetings and events, including scheduling, drafting agendas, compiling materials, and recording minutes.
  • Assist in preparing reports, managing correspondence, and coordinating travel arrangements.
  • Act as a primary liaison for internal and external stakeholders on behalf of the Executive Directors.

Financial & Human Resources Support

  • Manage office budgets, track expenses, and ensure cost-effective operations.
  • Assist in HR functions, including recruitment, onboarding, and employee relations.
  • Supervise administrative staff, providing guidance, training, and performance evaluations.

Technology & Operations

  • Oversee information systems, including hardware, software, and IT support, collaborating with consultants as needed.
  • Evaluate and improve workflows as the organization grows.

Requirements

Qualifications & Skills

  • Education: Bachelor’s degree in Business Administration, Management, or a related field.
  • Experience: Minimum of 5 years in administration, executive support, or a related role.
  • Technical Skills: Proficiency in Microsoft Office Suite, Google Suite, and Canva.
  • Soft Skills: 
    • Strong organizational and leadership abilities.
    • Excellent communication and interpersonal skills.
    • Ability to multitask, prioritize, and work under pressure.
    • Problem-solving mindset with keen attention to detail.
    • Ability to work independently and collaboratively within diverse teams.
