SECTION 1 : Job Summary

The Pharmacy Business Office Manager is responsible for leading the daily and administrative function of the Pharmacy business office, including customer set up, billing, account follow up, and record keeping. The position provides leadership to the team members in the department as well as administrative support to the Pharmacist.

SECTION 2 : Duties and Responsibilities

  • Drive and support growth of the pharmacy.
  • Hiring, training, scheduling, and evaluating pharmacy technicians and other staff members.
  • Assisting the pharmacist in the execution of maintaining compliance with all applicable laws, regulations, and accreditation standards.
  • Ordering, receiving, and managing inventory levels.
  • Maintaining records, preparing reports, and managing budgets.
  • Adheres to all safety policies and procedures in performing job duties and responsibilities while supporting a culture of high quality and great customer service.
  • Customer service point of contact with internal and external customers of the pharmacy addressing customer inquiries and drug replacement order processing.
  • New customer set up and accounting reconciliation as well as accounts receivable follow up.
  • Prepare reports related to customer orders, financial performance, and operational efficiencies.
  • Performs other duties that may be necessary or in the best interest of the organization.

SECTION 4 : Education, Licensure & Certification Requirements

Bachelors Degree

SECTION 5 : Experience Requirements

  • 2-3 years of health system pharmacy leadership or manager experience.

SECTION 6 : Knowledge, Skills and Abilities Requirements

  • Detail oriented, professional attitude, reliable
  • Management and organizational skills to support the leadership of this function
  • Ability to follow or provide verbal & written instructions with sufficient grammar and spelling skills to avoid mistakes or misinterpretations
  • Interpersonal skills to support customer service, functional, and team mate support needs
    • Able to communicate effectively in English, both verbally and in writing
  • Ability for basic to intermediate problem solving, including mathematics
  • Basic to intermediate computer operation
    • Proficiency with Microsoft Excel, Word, and Outlook
  • Specialty knowledge of systems relating to job function
  • Knowledge of state and federal regulations for this position; general understanding of HIPAA guidelines

SECTION 7 : Supervisory Responsibilities:

  • Directly supervises employees in the Pharmacy.
  • Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.
  • Responsibilities include interviewing, hiring, and training employees, planning, assigning, and directing work; appraising performance, rewarding and disciplining employees, addressing complaints and resolving problems.

Location: Work takes place in a normal office/clinical environment as well as remote work being possible. Travel to other locations may be necessary to fulfill essential duties and responsibilities of the job. Thus, those needing to travel for work must have access to dependable transportation, and driving record must meet company liability carrier standards.

Exposure: Works in normal office environment during normal business hours. May be exposed to various cleaning supplies.

Equipment: Regularly uses a phone, computer, point of sales system, pharmacy dispensing system, Microsoft excel, powerpoint, inventory tracking systems, fax machines and copiers.
