Our agency is looking to fill a full-time, non-permanent Secretary Supervisor position within the Community Corrections Division. This position works for the Spokane Community Justice Center (CJC) located at 715 E. Sprague Spokane, WA 99202. This non-permanent appointment is expected to last about twelve months.
Under the general direction from the Community Corrections Supervisor (CCS), this position supervises support staff to ensure they are providing technical and professional support as needed for the Community Corrections Officers (CCOs). The support provided by this position enables staff to conduct efficient and effective management of caseloads. Work hours are 8:00 am - 5:00 pm, Monday-Friday.

Duties
Supervise and oversee the office functions for the Spokane CJC.
Using independent judgment, establish priorities for completion of work assigned to support staff and coordinate with support staff to ensure deadlines and new guidelines are met.
Supervise support staff. Plan, assign and review the work of support staff, adjusting assignments and schedules to maintain adequate staffing levels and respond to fluctuating workloads. Resolve support staff issues.
Schedule unit meetings, manage conference room scheduling, sending out notices to staff, complete and maintain meeting minutes.
Assist CCS with the interview process by scheduling interviews and assisting with pre-interview preparations.
Prepare and submit all staff action forms.
Track equipment and vehicles in preparation for yearly CAMS inventory reports.
Credit card custodian for Spokane CJC Credit Card.
Interview, make hiring recommendations, plan organize and monitor work of support staff.
Conduct monthly meetings with support staff to review work assignments and performance.
Complete annual performance evaluations and expectations for support staff.
Approve timesheets and leave slips for support staff.
Miscellaneous office tasks.
Complete purchase orders for all vehicle repairs and required maintenance.
Update policy and emergency response manuals.
Assist staff in submitting help tickets as needed. Coordinate staff moves and assist IT with asset inventory.
Track warrant status for the CJC office and assign AVI's.
Check status of warrant and inactive caseloads quarterly.
Archive field files.
Backup support for assignments.
Other duties as assigned.
Qualifications
Required Qualifications
High School diploma or equivalent.
Three years of increasingly responsible office experience requiring keyboarding or typing and including experience leading the work of others.
Computer knowledge.
Valid, unrestricted driver's license.
The successful candidate will possess the following required skills and abilities:
Ability to assist individuals with various criminal backgrounds and personalities.
Maintain regular and reliable attendance.
Respect and maintain confidentiality.
