Experienced Veterinary Office Manager

We’re seeking a highly organized and experienced Veterinary Front Office Manager to lead our client experience and daily front office operations. In this pivotal role, you’ll ensure a smooth, welcoming environment for clients and seamless coordination with our medical team. Veterinary clinic experience and proven front-office leadership are essential.

Qualifications:

1. 5+ years of veterinary front office management experience
2. Strong knowledge of clinic operations and patient flow
3. Exceptional leadership, communication, and organizational skills
4. Proficiency with veterinary software (PetDesk experience highly preferred)
5. High school diploma required; associate or bachelor’s degree preferred
6. Genuine passion for animal care and excellent client service
7. Bonus: Enthusiasm for exotic pets—especially rabbits—is a plus!

Key Responsibilities:

Daily Operations & Patient Flow

1. Manage front office workflow, staff schedules, and opening/closing procedures
2. Coordinate appointments and check-ins/outs for efficient patient flow
3. Ensure policy compliance and accurate recordkeeping
4. Partner with Back-End Manager to streamline front-to-back operations

Client Experience

1. Lead with a client-first mindset to create a warm, professional atmosphere
2. Resolve client concerns with empathy and efficiency
3. Collect and act on client feedback to improve service

Team Leadership

1. Supervise, mentor, and support front office staff
2. Collaborate with leadership on practice growth and integration initiatives

Technology & Financial Oversight

1. Utilize practice management software to optimize operations
2. Recommend tools that enhance client communication and efficiency
3. Oversee daily transactions, invoicing, and reconciliation
4. Assist with budgeting and inventory management
