The Ohio State Universitys College of Dentistry seeks an Office Associate to join the patient care team in the Clinic Administration Office. The Office of Clinic Administration supports the clinical operations of a practice that sees an average of 40,000 patients annually. This position reports to the Colleges Senior Health and Safety Officer and supports the Receiving and Distribution Manager. This position is responsible for administrative, database, and customer service support while managing the health and safety compliance reporting and serving as a back-up receptionist for the Clinic Administration office.

The Ohio State University College of Dentistry is the fourth largest public dental school in the United States and it is the only public dental school in Ohio. The college is divided into ten divisions with all major ADA-recognized dental specialties represented. The College has approximately 600 students in its undergraduate and graduate programs.

The Office Associate provides complex administrative support to the Senior Clinical Health and Safety Officer, and Receiving and Distribution Manager. Due to the patient-centered nature of the OCA office, this position frequently manages or assists with other urgent projects or tasks as directed by the Associate Dean, Assistant Dean, or OCA Office Manager. As a member of the OCA office team, this individual must be able to provide excellent customer service to patients, students, faculty, staff, and visitors by email, telephone, or in person. Manages the health & safety compliance reporting, including the updating of the database and tracking processes, ensuring necessary records are maintained and prepared accurately according to established guidelines; generates and distributes compliance reporting monthly. Manages the invoicing, reconciling, and blanket purchase orders for the OCA Office. Captures minutes for the Credentialing and Privileging Meeting on a monthly basis and assists in developing and editing operating procedures as needed. Handles Certificates of Records Destruction to remove old invoice records in compliance with OSUs record retention policy. Assists with the weekend annual licensing exams four (4) times annually and assists in recording patient grievances as needed.

$18.17 - $23.90/hour based on experience.

This position requires successful completion of a criminal background check and drug and alcohol screening.

With or without reasonable accommodations, the candidate must be able to push/pull carts containing office supplies and/or supplies needed for college events, bend/stretch/twist to pick up supplies, retrieve records or maintain office appearance, stand and walk for periods of time serving and assisting customers; and perform computer work for long periods of time while maintaining focus.

Required: High school diploma; 1 year of experience in customer service; 1 year of experience using computers to generate a variety of materials ranging from basic to complex. Ability to remain flexible and reprioritize tasks as needed.

Desired: Previous experience in database management and compliance tracking is highly desired. 2 -4 years experience working in an office setting, customer services and Microsoft Office.
