Administrative Assistant, Resident Life and Accessibility Services

The primary purpose of this Administrative Assistant position is to support two campus departments: the Office of Accessibility Services and the Office of Residential and Commuter Life. This position interacts positively with members of the university community, vendors, and visitors to the university.

Essential Duties & Responsibilities:

  • Triage telephone, fax, walk-in, Maxient, Accommodate, and email inquiries for Accessibility Services, Resident Life, and the Testing Center.
  • Process payment requisitions for expenditures.
  • Maintain appointment calendars for Director, Graduate Assistant, and the Testing Center.
  • Manage assistive technologies and alternate format textbook program.
  • Manage, request, and coordinate interpreting services.
  • Supervise student employees and coordinate Testing Center processes (e.g., scheduling, timesheets, training, disseminating information, maintaining test security and chain of custody for test materials, and test proctoring).
  • Maintain Accommodate database (e.g., file correspondence and documentation, open and close cases, disseminate letters, maintain caseload records) for all constituencies served.
  • Design process improvements and knowledge base resources for students and faculty and monitor and maintain the Accessibility Services webpage.
  • Maintain assessment and program evaluation data.
  • Oversight of departmental email accounts.
  • Management of designated processes in Accommodate and eRezLife.
  • Scheduling assistance for the Director and Associate Director.
  • Attend departmental meetings and take/distribute meeting minutes.
  • Manage departmental reporting including meal plan changes, and prepare and distribute meal plan report to appropriate campus partners; weekly occupancy report.
  • Assist director with the housing accommodation renewal and placement process in tandem with the office of accessibility services.
  • Support major departmental projects (Housing Selection, Housing Assignments, Opening and Early arrivals, and End-of-Year closing).

Qualifications:

  • Bachelor's degree is preferred.
  • Experience is disability services is preferred.
  • Two to four years related experience and/or training or equivalent combination of education and experience.
  • Ability to understand, communicate and effectively interact with people across cultures.
  • Possesses a positive attitude towards cultural differences.
  • Willing to gain knowledge of different cultural practices and world views and determine how those practices and views will factor in during investigations, complaints, reports, findings, etc.
  • Excellent skills in the Microsoft suite of products, inDesign, Canva, and social media platforms .
  • Ability to respond effectively to the sensitive inquiries or complaints.
  • Ability to write speeches and articles using original or innovative techniques or style.
  • Ability to effectively present information to a wide range of constituents.
  • Ability to facilitate discussion groups and workshops; ability to coordinate events.
  • Ability to update and maintain social media presence and organizational listservs.
  • Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Excellent professional verbal and written communication skills.
  • Ability to work closely and professionally with others as part of a team.
  • Ability to be flexible, pay attention to detail, work without supervision and demonstrate considerable initiative.
  • Ability work well with individuals from diverse backgrounds.
  • Manage multiple priorities under tight deadlines, establish departmental goals and priorities, contribute to Capital University's mission and vision.
