Boyle’s core business is repeat projects for clients providing construction management and design-build services for projects of all types and sizes. Our project resume includes healthcare, biosciences, offices, restaurants and hospitality, parking decks, multi-family, retail, and car dealerships. Projects range from small maintenance type work, small renovations and fit outs, to projects in excess of $50 million.

To excel in this role, you must have strong organizational skills, excellent communication, networking, relationship building, and time management skills.

Position: Construction Contract Administrative Assistant

This position reports directly to the Director of Construction Administration. The Construction Contract Administrative Assistant is responsible for performing a variety of administrative tasks related to creating and administering all contracts for Boyle. This position requires a contract or legal background, excellent organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously.

Essential Duties and Responsibilities: Include, but are not limited to:      

  • Preparation of all company construction contracts, purchase orders, and change orders
    • Requires maintaining, updating, and reviewing on a regular basis all template documents for construction contracts, purchase orders, and change orders.
  • Must know relationship and workflow between Owner-Contractor, Contractor-Subcontractor, and Contractor - Supplier/Vendor
    • Prepare all owner and subcontractor contracts, all purchase orders, and all change orders for all projects; working closely with the Project Management Department
    • Prepare AIA draft contracts for review by Director of Construction of Administration
    • Fill in all blanks of boiler plate contracts and work with PM team to gather required information
      • Convert subcontractor proposal and scope into AIA contract format
      • Compile all applicable exhibits to AIA contracts
      • Interact with PM and Accounting departments as required for any cost and schedule information required
      • Distribute to internal staff and outside counsel as necessary
      • Make all edits after internal review
  • Manage timelines and maintain a log  to complete all contract documents in a timely manner
  • Hold others accountable for information required to complete these tasks
  • Distribute drafts to the Owner and Subcontractors for review prior to finalizing
  • Distribute to all parties in DocuSign for execution
  • Monitor and follow through with full execution
  • Distribute final copies to all parties required
  • Create change orders in Procore or AIA Software and distribute for signatures
  • Create and distribute contract summary document for all projects
  • Exhibit Company’s commitment to a safe workplace and worksite.
    • Ensuring implementation of all Boyle Construction Inc. safety documentation.

Qualifications and Other Skills and Abilities:

  • Must know AIA software
  • Proven experience with contracts or legal background or in a similar role
  • Strong organizational skills, with the ability to multi-task and prioritize effectively
  • Experience with Microsoft Office products required
  • Good phone presence, self-motivated, punctual
  • Excellent communication skills, both written and verbal
  • Ability to work independently as well as part of a team, meeting all deadlines
  • High level of attention to detail and accuracy
  • High School Diploma or equivalent required; associate or bachelor’s degree preferred
  • Valid driver’s license

Essential Physical Requirements and Working Conditions:

  • Ability to sit or stand in a stationary position for approximately seventy-five (75%) percent of a workday.
  • Ability to bend and lift 30 lbs.
  • Ability to work in an environment which may include fumes, odors, chemicals, sawdust, and ash, (if on a jobsite).
  • Ability to work in an environment with noises in the range of 30-85 dB (if on a jobsite).
